VMS Platform Support Services

Independent support for the vendor management platforms life sciences buyers really run, from first configuration through the reconfiguration nobody budgeted for.

Viltis provides VMS platform support services for organizations that have already selected a vendor management system and need help making it work. Our position is deliberately independent: we do not resell platforms, and on any given engagement our recommendation may well be that your current system is adequate and the problem is configuration, integration, or adoption. What we bring is practical experience with how these platforms behave in regulated life sciences environments, where approval hierarchies are complicated, qualification gates matter, and reporting has to satisfy an auditor as well as a category manager.

Overview

What platform support usually involves

Engagements tend to fall into a small number of recognizable shapes, and the platform matters less than which shape you are in.

  • Initial implementation: workflow design, configuration, integration scope, testing, and go-live support

  • Reconfiguration: fixing a deployment that was stood up quickly and never revisited

  • Supplier onboarding: bringing agencies onto the platform with documents, terms, and rate cards loaded correctly

  • Integration work: connecting the platform to HRIS, ERP, identity, and learning systems

  • Migration: moving from a legacy system or consolidating multiple regional platforms

  • Ongoing administration: configuration changes, new cost centers, rate card refresh, and release adoption

  • Reporting build-out: turning platform data into reporting your finance and quality teams will accept

Overview

Why configuration causes most of the pain

Vendor management systems are broadly capable, and the differences between them matter far less than most selection processes assume. Programs struggle because the job taxonomy was never standardized, because approval chains were copied from an org chart rather than from the delegation of authority, or because intake was designed for the program team rather than for the hiring managers who have to use it.

None of that is fixed by changing platform. It is fixed by revisiting the configuration decisions, which costs far less and disrupts far less than a replacement.

Overview

Life sciences configuration requirements

Regulated environments ask things of a VMS that general-industry deployments do not. Intake needs to capture whether an assignment is GxP-impacting and what system access it requires. Onboarding needs qualification gates that hold provisioning until training completion is confirmed. Assignment records need to support retention well past the assignment end date.

These are configuration and process decisions rather than product features, and they are the ones most likely to be missed by an implementation partner without regulated-industry background.

Overview

Choosing a platform, if you are still deciding

If selection is still open, we support it as an independent advisor: requirements definition, scoring, scripted demonstrations against your real scenarios, reference conversations, and commercial evaluation. We have no reseller relationship with any vendor and take no vendor compensation, so the recommendation follows the requirements.

We are also willing to conclude that your contingent population does not yet justify a platform at all, and to say so before a procurement process consumes six months.

Benefits

Why organizations bring us in

  • Independent by structure

No reseller relationships and no vendor compensation, so advice on selection, retention, or replacement follows your requirements rather than a commercial interest.

  • Reconfiguration before replacement

Most underperforming deployments are configuration problems. Fixing them is faster, cheaper, and far less disruptive than a platform change.

  • Regulated-environment requirements built in

GxP impact capture, qualification gating, and retention requirements are designed into the configuration, not discovered during an audit.

  • Supplier onboarding done properly

Agencies arrive on the platform with terms, documents, and rate cards loaded correctly, which prevents the data problems that undermine later reporting.

  • Integration scoped realistically

Day-one integrations are separated from later phases, which is the single most effective way to keep an implementation on schedule.

  • Administration that keeps pace

Ongoing configuration support means the platform tracks organizational change instead of drifting until the next audit forces attention.

FAQ

Platform support FAQs

Do you resell or implement on behalf of platform vendors?

No. We work for the buyer. We hold no reseller agreements and receive no vendor compensation, which is what allows us to recommend keeping your current platform when that is the right answer.

Our VMS was implemented badly. Replace or fix?

Usually fix. Replacement carries migration cost, retraining, supplier disruption, and a fresh set of configuration decisions made under time pressure. We assess the specific issues first. Most trace back to taxonomy, workflow design, or adoption, not to product capability.

Can you support a platform not listed in this section?

Often, yes. The disciplines that decide whether a program works (taxonomy, workflow, integration, supplier onboarding, adoption) transfer across platforms. Tell us what you run and we will be straight with you about how well we know it.

Do you help with platform selection?

Yes, as an independent advisor. That includes requirements definition, scoring models, demonstration scripts built from your own requisition scenarios, reference calls, and commercial evaluation support.
